Built for trading and contracting companies
Every company works a little differently. These are the typical needs in each sector.
Trading companies
Import, export, wholesale and distribution. Typical needs are prices and costs in more than one currency with totals in dirhams, stock across warehouses, supplier purchase orders, partial deliveries, customer credit terms and post-dated cheques.
Trading ERP software →Contracting, MEP and HVAC companies
Project and maintenance work. Typical needs are quotations from a price list or a bill of quantities, a job record that ties together purchase orders, delivery notes and invoices, progress invoices, retention, subcontractor bills and service contracts.
Construction ERP software →The real list comes from the free workflow audit. For how we approach marketing in these sectors, see our pages for trading companies and HVAC and MEP companies.
Built around UAE VAT, e-invoicing and clean records
VAT and tax invoices
Tax invoices carry your tax registration number, VAT by line and the other details the Federal Tax Authority expects. The VAT treatment of each item is set with you and confirmed by your accountant.
E-invoicing
UAE e-invoicing is being introduced in phases through accredited service providers. Where it applies to you, we design the invoice records around the data your provider needs and agree in writing how the system connects. We are not an accredited provider.
Records and history
Every quote, order and invoice keeps its history and who changed it, so your accountant can follow the numbers when you prepare VAT returns and corporate tax filings.
We are not tax advisers. Our guide to UAE e-invoicing for trading and contracting companies explains the dates and the steps, with sources.
Where we draw the line
We do not build custom software for a problem that a spreadsheet or an existing tool already solves. If an off-the-shelf tool fits how you work, we tell you at the free audit and you keep your money. When custom software is the right answer, we build the smallest useful stage first, and you see it working before we go further.
- A system for a problem a spreadsheet solves
- A long plan before you see anything
- Savings promised before we see your process
How a custom system project works, one stage at a time
Free workflow audit
We look at how a quote, an order and an invoice move through your company today, using your real documents. You get a short list of what to fix first. If a spreadsheet or an existing tool is enough, we say so.
Scope and fixed quote
A written scope for the first stage and one fixed price before anything is built. Later stages are quoted separately, so you decide each step.
Build and approve
We build the first stage with your real data. Someone on your side approves each part and tests it before your team starts to use it.
Launch, train and support
We launch it, train the people who use it and agree in writing how support and changes work after launch.
Custom ERP or ready-made ERP: how to choose
The honest answer depends on how standard your process is.
| What to compare | Ready-made ERP | Custom ERP |
|---|---|---|
| Fit to your process | Configured to a standard process. Gaps are handled with workarounds or extra customisation. | Built around your documents, pricing rules and approvals. |
| How you start | Most modules are set up before the first go-live. | One stage first, such as quotations or collections, then the next stage. |
| Cost pattern | Licences or subscriptions, often per user or per module, plus implementation. | A written scope and one fixed price for each stage, plus support. Hosting and paid services are explained before you commit. |
| Changes | Within what the product allows. Anything else is a workaround or customisation. | New needs are scoped and quoted as the next stage or as a change. |
| Updates and compliance | The vendor releases updates for every customer. | We update the system when rules change, as agreed in the support terms. |
| What to check before you choose | Reference customers in your sector, and how the product handles UAE VAT and e-invoicing. | Who keeps the code, the data and the hosting, and how changes and support are priced, all agreed in writing. |
| Best when | Your process is standard and you need many modules quickly. | Your process is unusual, or one stage costs you the most time or money. |
When an existing tool is enough
If your process is standard, an accounting or CRM tool you already have, plus a few changes to how you work, is often the right answer. We tell you at the audit.
When it is too early
A company with a handful of quotes a week may not need a system yet. We would rather say so than build one.
Custom does not mean starting from nothing. Where a good component already exists, we connect it instead of rebuilding it. Comparing options? Read our ERP buyer's guide.
What we need from you to build it
- Your documentsA few real quotes, delivery notes and invoices and your price list. Remove customer names if you prefer.
- How work movesWho does what from enquiry to payment, and where each step is recorded today.

- Your toolsThe accounting software, spreadsheets, WhatsApp and email you use. We ask for access only to what the system needs, and you can remove it at any time.

- One person to approveSomeone who can answer questions, approve each stage and test it with a colleague.
What a custom ERP costs in Dubai, how long it takes and who keeps control
How we price
Each stage has a written scope and one fixed price, agreed after the free workflow audit. We do not publish a price list, because a quotation tool and a full system from quote to payment are very different jobs.
Timeline
You get a timeline with each quote. It depends on the scope and on how quickly documents, answers and approvals reach us. We usually recommend starting with the part that costs you the most time or money.
Running costs
Hosting and any paid services the system uses, such as messaging, are explained before you commit, so you know the full running cost.
Your data and your system
Your data and logins stay in your name. What happens with the source code, hosting and future changes is agreed in writing before the build starts.
Where UAE e-invoicing applies to you, we design the invoice records around the data your accredited provider needs and agree in writing how the system connects to that provider. We are not an accredited service provider. Our guide to UAE e-invoicing for trading and contracting companies explains the dates and the steps.
Questions we get asked
What is a custom ERP, and what does custom software development cover?
An ERP is one system that connects the main parts of a business: sales, purchasing, stock, invoicing and accounts. A custom ERP is built around your documents, pricing rules and approvals instead of a standard process. For a trading or contracting company it usually starts with enquiries, quotations, orders or jobs, invoices and collections, and grows one stage at a time. Custom software development also covers smaller tools, such as a quotation tool or a collections tracker, that connect to the accounting software you already use.
Custom ERP or ready-made ERP: which suits a trading or contracting company?
It depends on how standard your process is. A ready-made ERP suits a standard process, offers many modules and is updated by the vendor. A custom system suits pricing rules, approvals and document flows that standard tools do not fit, and lets you start with one stage instead of a full implementation. We say which one fits at the free workflow audit, even when the answer is a ready-made tool.
Which ERP is mostly used in the UAE?
There is no single answer, because UAE companies use a wide mix of systems. Larger groups often run enterprise systems, while smaller trading and contracting companies commonly use accounting software with spreadsheets, a ready-made ERP from a local or international vendor, or a custom system. The right choice depends on your size, your sector and how standard your process is, so ask any vendor for references in your sector and check how the product handles UAE VAT and e-invoicing.
How do I choose a custom software or ERP company in Dubai?
Ask for a written scope and one price for the first stage, not only a total. Ask who keeps the source code, the data and the hosting accounts, and how changes and support are priced. Ask to see the first stage working with your real documents before you commit to more. Ask who you contact when something goes wrong, and whether the company will tell you plainly when you do not need custom software. Be cautious of a company that cannot answer these in writing. Our ERP buyer's guide lists twelve questions to ask any vendor.
Do you build ERP for trading, contracting and MEP companies?
Yes, these are the sectors we are building for. For a trading company the system typically covers quotations, orders, purchasing, stock, delivery notes, invoices and collections. For a contractor it adds a job record that ties together purchase orders, delivery notes and invoices, progress invoices, retention and subcontractor bills. Every company works differently, so we map yours at the free workflow audit before we propose anything. See our trading ERP and construction ERP pages.
Can the system handle UAE VAT and tax invoices?
Yes. Tax invoices carry your tax registration number, VAT by line and the other details the Federal Tax Authority expects, and credit notes are handled the same way. The VAT treatment of each item is set with you and confirmed by your accountant, because we are not tax advisers.
Can it handle several warehouses, currencies and credit terms?
These are common needs in trading companies, and they can be part of the system: stock by warehouse, prices and costs in a foreign currency with totals in dirhams, credit limits and payment terms for each customer, and delivery notes for partial deliveries. Which of them you need is agreed after the free workflow audit, so the first stage covers only what you need.
Can AI tools build this for us?
AI tools make it easier to build simple internal tools, and some companies will do that. A business system that handles prices, VAT, customer records and invoices needs careful design, testing and security, and someone responsible for it when rules or staff change. That is the part we provide.
How much does a custom ERP cost in the UAE?
Each stage has a written scope and one fixed price, agreed after the free workflow audit. We do not publish a price list, because a quotation tool and a full system from quote to payment are very different jobs. The main things that change the price are how many stages you need, how many connections to other tools are involved and how much data has to come across.
How long does it take to build?
You get a timeline with each quote. It depends on the scope and on how quickly documents, answers and approvals reach us. We usually recommend starting with the part that costs you the most time or money, then adding stages once the first is working.
Can you start with one stage instead of a full ERP?
Yes, and we recommend it. A first stage might be quotations with follow-up, or invoices with collections. You see it working with your real data before you decide on the next stage.
Can we move across from Excel?
Yes. We agree which data comes across, such as customers, suppliers, items and open orders, look at what is clean and what is not, and test the system with your real documents before your team starts to use it. Your spreadsheets stay as they are.
Can it connect to our accounting software and WhatsApp?
Often, where the tool offers a way to connect. We check what is possible at the audit and agree in writing which connections are in scope. Some connections carry fees from the tool or the messaging provider, and we tell you before you commit.
Will it support UAE e-invoicing?
Where e-invoicing applies to you, we design the invoice records around the structured data your accredited provider needs and agree in writing how the system connects to that provider. We are not an accredited service provider. See our guide to UAE e-invoicing for trading and contracting companies.
Who keeps control of the data and the system?
Your data and logins stay in your name, and we ask for access only to what the system needs. What happens with the source code, hosting and future changes is agreed in writing before the build starts.
What if the system gets something wrong?
It is tested on your real documents before your team uses it, and someone on your side approves each stage before we move on. We agree in writing how problems are reported and fixed as part of support.
Can you build a custom CRM?
Yes, a CRM can be part of it. Customer records and follow-up sit alongside your quotes, orders and invoices instead of in a generic sales pipeline, so the records your team needs are in one place.
Do you offer WhatsApp automation or chatbots?
We can include WhatsApp messages and AI-assisted drafts inside a system where they help, for example to send a quote or a payment reminder you have approved. We do not sell a standalone chatbot, because platforms such as WhatsApp now include AI assistants for first replies.
Can our customers use it too?
Yes, where it is worth it. A customer portal can show quotes, orders and statements and let repeat customers reorder. We usually add that after the internal system is working.
Do you have examples of systems you have built?
Our published client work is websites for UAE trading, contracting and technical-service companies, and for Thermolink the logo as well. We do not claim results from work we have not published, so we start with a free workflow audit and a small first stage that you can judge before committing to more.
Where is your team, and how do we work together?
We are a Mumbai team that works remotely, with a registered point of contact in Sharjah. Everything is done remotely, and we work with you on WhatsApp and email. We work Monday to Saturday, 10am to 6pm India time, which is 8:30am to 4:30pm in the UAE, and we usually reply on WhatsApp within a few hours during working hours.
