ERP for contracting companies

Custom construction ERP software in the UAE

Quotations in Excel, site costs in WhatsApp, retention in a notebook and subcontractor bills in a drawer. We build one ERP around how your contracting company really tenders, builds and gets paid.

Custom ERP software for contracting, MEP and HVAC companies in Dubai and across the UAE. A system built around your quotations, jobs, purchases, subcontractors, progress invoices and retention, one stage at a time, so you see the first stage working before you commit to more.

The problem

Where a contracting company loses time and money

Quotations rebuilt every time

Each tender is priced from scratch in a spreadsheet, so items, rates and notes are retyped and old rates creep in.

Job costs unclear until the end

Materials, labour and subcontract costs are not tied to the job as they happen, so you learn the margin after the job closes.

Variations that are never priced

Extra work agreed on site is not written up, priced or invoiced, so it is lost or disputed later.

Retention nobody tracks

Retention held by the client until the defects period ends is recorded in a notebook, and release dates are missed.

Subcontractor records scattered

Work orders, certificates and payments sit in different places, so you cannot say quickly what a subcontractor is owed.

Progress invoices out of step

Measurement sheets and invoices drift apart, so billing is late or wrong.

These are common patterns, not a diagnosis of your company. The free workflow audit starts from how work really moves in yours.

What we build

A contracting ERP built from the stages you use

Quotations and BOQ

Quotations built from a price list or a bill of quantities, with follow-up reminders and a clear status from sent to won.

Jobs and budgets

Every job you win gets a record and a budget from its quotation, with purchase orders, delivery notes, invoices and photos kept on the same record.

Purchasing and site delivery

Purchase orders per job, goods received to site and materials issued to a job at cost, so job costs build up as the work happens.

Subcontractors

Subcontractor work orders, certificates of work done, retention held and payments, so what is owed is always visible.

Progress invoices and variations

Progress invoices from measured work, variations priced and approved before they are invoiced, and tax invoices ready for UAE VAT and e-invoicing.

Retention and collections

Retention you hold and retention held by your clients, with release dates, receivables by client and age, post-dated cheques and payment reminders you approve.

Service contracts and jobs

For MEP and HVAC companies, maintenance contracts, renewals and service calls, with the equipment and visit history on one record.

Job reports

Budget against actual for each job, cash due by project, retention held and what is overdue.

MEP and HVAC

Installation projects and maintenance contracts

Installation and fit-out projects

Project work priced from a bill of quantities or a lump sum, with materials issued to the job, variations and progress billing. The job record shows budget against actual while the work is running.

Maintenance contracts and service calls

Annual maintenance contracts with renewal dates, planned visits, service calls and the equipment at each site, so renewals are quoted on time and visits are not missed.

UAE rules

VAT, e-invoicing and records for a UAE contractor

VAT on progress invoices and retention

Progress invoices carry your tax registration number, VAT by line and the other details the Federal Tax Authority expects. How VAT applies to retention and variations follows your contract and the VAT rules, so each case is set with your accountant.

E-invoicing

If you are VAT-registered and invoice other businesses or government clients, UAE e-invoicing covers your progress invoices and credit notes. We design the invoice records around the data your accredited provider needs and agree in writing how the system connects. We are not an accredited provider.

Records and history

Every quotation, variation, certificate and invoice keeps its history and who approved it, so your accountant and auditor can follow a job from tender to final account.

We are not tax advisers. Our guide to UAE e-invoicing for trading and contracting companies explains the dates and the steps, with sources.

Before you choose

Eight questions to ask before you choose any construction ERP

Custom or ready-made, these are the questions a contracting company should ask. We answer them in writing before you decide.

Ask the vendorWhy a contractor needs it
Can a quotation or bill of quantities become the job budget?Without that link, job costing starts from zero.
How are variations priced, approved and invoiced?Extra work is where margin is most often lost.
How is retention tracked, for me and for my clients?Retention is cash you are owed, with release dates attached.
How does it handle subcontractor certificates and payments? You need to know what each subcontractor is owed before you pay.
Can materials be issued to a job at actual cost?Job costs must build up as the work happens, not at the end.
Can progress invoices follow measured work?Billing should match what was done, and be ready on time.
How does it handle VAT, credit notes and e-invoicing?Invoices to main contractors, developers and government clients carry the same rules.
Can I export all my data, and who supports it?Your jobs, rates and history should never be locked in, and someone must answer when something breaks.

How it works

How a contracting ERP project works, one stage at a time

1

Free workflow audit

We follow a tender, a job, a progress invoice and a retention release through your company today, using your real documents. You get a short list of what to fix first. If a spreadsheet or an existing tool is enough, we say so.

2

Scope and fixed quote

A written scope for the first stage and one fixed price before anything is built. Later stages are quoted separately, so you decide each step.

3

Build and approve

We build the first stage with your real data, such as your rate list and current jobs. Someone on your side approves each part and tests it before your team starts to use it.

4

Launch, train and support

We launch it, train the people who use it and agree in writing how support and changes work after launch.

Before we start

What we need from you to build it

  • Your documentsA few real quotations or bills of quantities, purchase orders, subcontractor certificates and progress invoices. Remove names if you prefer.
  • Your rates and rulesYour price list or rate library, markups, approvals, payment terms and anything that must never happen.
  • Your jobsA list of current jobs with their budgets, so we can see how costs are tracked today.
  • Your subcontractors and suppliersNames, tax registration numbers, terms and open balances, and a view of what is clean and what is not.
  • Your toolsThe accounting software, spreadsheets, WhatsApp and email you use. We ask for access only to what the system needs, and you can remove it at any time.
  • One person to approveSomeone who can answer questions, approve each stage and test it with a colleague.
Cost and timing

What a construction ERP costs in the UAE, how long it takes and who keeps control

How we price

Each stage has a written scope and one fixed price, agreed after the free workflow audit. We do not publish a price list, because a quotation tool and a full system from purchase to payment are very different jobs.

Timeline

You get a timeline with each quote. It depends on the scope and on how quickly documents, answers and approvals reach us. We usually recommend starting with the part that costs you the most time or money.

Running costs

Hosting and any paid services the system uses, such as messaging, are explained before you commit, so you know the full running cost.

Your data and your system

Your data and logins stay in your name. What happens with the source code, hosting and future changes is agreed in writing before the build starts.

Where UAE e-invoicing applies to you, we design the invoice records around the data your accredited provider needs and agree in writing how the system connects to that provider. We are not an accredited service provider. Our guide to UAE e-invoicing for trading and contracting companies explains the dates and the steps.

FAQ

Questions we get asked

What is construction ERP software?

Construction ERP software is one system that connects the main parts of a contracting company: quotations and bills of quantities, jobs and budgets, purchasing and site deliveries, subcontractors, progress invoices, variations, retention and collections. A custom construction ERP is built around how your company tenders, builds and gets paid, and grows one stage at a time.

What should a contracting company expect an ERP to do?

Turn a quotation into a job with a budget, collect costs against the job as they happen (purchases, materials issued to site, labour and subcontract), price and track variations, produce progress invoices, track retention and subcontractor payments, and show budget against actual for every job. Which of these you need first is agreed after the free workflow audit.

Custom construction ERP or ready-made ERP: which is better for a contractor?

It depends on how standard your process is. A ready-made construction ERP suits a standard tender, build and bill process, offers many modules and is updated by the vendor. A custom system suits your rate library, approvals and document flow, and lets you start with one stage, such as quotations or retention, instead of a full implementation. We say which one fits at the free workflow audit, even when the answer is a ready-made tool. Our ERP buyer's guide shows how to compare the options.

Can a quotation or bill of quantities become the job budget?

Yes. When a quotation is won, its items and rates can become the budget for the job, so costs are compared against the same lines you priced.

How are variations handled?

A variation is written up, priced and approved before it is invoiced, and it stays linked to the job and the original contract so it cannot be lost or disputed later. The approval steps are set with you.

How does it track retention?

Retention you hold from subcontractors and retention your clients hold from you are tracked separately, with the amount, the release conditions and the expected release date, so the cash you are owed is visible and release dates are not missed.

Can it handle subcontractors and certificates?

Yes. Work orders to subcontractors, certificates of work done, retention and payments sit on the job, so you can see what each subcontractor has done, what has been approved and what has been paid before you approve the next payment.

Can it track job costs, including labour?

Purchases, materials issued to a job, subcontract costs and labour can be charged to the job, so cost builds up as the work happens. Payroll itself normally stays in your payroll or accounting software, and labour hours or costs are loaded by job from your timesheets or payroll.

Can it produce progress invoices and handle VAT and e-invoicing?

Progress invoices can follow measured work or agreed stages, and carry your tax registration number, VAT by line and the other details the Federal Tax Authority expects. How VAT applies to retention and variations follows your contract and the rules, so it is set with your accountant. Where e-invoicing applies to you, we design the invoice records around the structured data your accredited provider needs and agree in writing how the system connects to that provider. We are not an accredited service provider. See our guide to UAE e-invoicing for trading and contracting companies.

Can it handle MEP and HVAC maintenance contracts?

Yes. Annual maintenance contracts with renewal dates, planned visits, service calls and the equipment at each site can sit in the same system as your projects, so renewals are quoted on time and visits are not missed.

Can it run several projects and sites at once?

Yes. Each job has a separate record, budget and costs, and reports show budget against actual and cash due by job or for the whole company.

How much does a custom construction ERP cost?

Each stage has a written scope and one fixed price, agreed after the free workflow audit. We do not publish a price list, because a quotation tool and a full system from purchase to payment are very different jobs. The main things that change the price are how many stages you need, how many connections to other tools are involved and how much data has to come across.

How long does it take to build?

You get a timeline with each quote. It depends on the scope and on how quickly documents, answers and approvals reach us. We usually recommend starting with the part that costs you the most time or money, then adding stages once the first is working.

Can we start with one stage, such as quotations or retention?

Yes, and we recommend starting small. A first stage might be quotations with follow-up, jobs and budgets, retention and collections, or subcontractor certificates. You see it working with your real data before you decide on the next stage.

Can it connect to our accounting software?

Often, where the tool offers a way to connect. We check what is possible at the audit and agree in writing which connections are in scope, for example posting invoices to your accounting software. Some connections carry fees from the tool provider, and we tell you before you commit.

Do you build ERP for contracting, MEP and HVAC companies?

Yes, these are the sectors we are building for. Our published client work for HVAC, MEP and contracting companies is websites, and for Thermolink, an HVAC spare parts supplier, the logo as well, so we do not claim results from a back-office system yet. We start with a free workflow audit and a small first stage that you can judge before committing to more. See the Thermolink case study.

Where is your team, and how do we work together?

We are a Mumbai team that works remotely, with a registered point of contact in Sharjah. Everything is done remotely, and we work with you on WhatsApp and email. We work Monday to Saturday, 10am to 6pm India time, which is 8:30am to 4:30pm in the UAE, and we usually reply on WhatsApp within a few hours during working hours.
